Who this notice covers
This notice covers the HQ Software company website at hqsoftware.app. It does not cover the products. RowHQ, SailHQ, KanuHQ, LevHQ and the others each run on their own website with their own privacy notice, because that is where accounts, member records and payments live. If you use one of those products, read its notice.
The data controller is HQ SOFTWARE LTD, company number 17341989, registered office 128 City Road, London, EC1V 2NX.
What this website does not do
It has no contact form, no sign-up, no login and no payment system. It does not run analytics. It does not carry advertising or advertising trackers. The fonts are served from our own server, so no font provider sees your visit. Nothing on this site sends your details to a third party.
Cookies and browser storage
Ordinary page views set no cookies. We checked this by requesting pages from the server and reading the response headers, and the site's session handling is switched off in its configuration.
The site has one small pop-up, an app finder, which can appear once per browser session. When you close it or finish it, your browser stores a single flag named hq-finder in session storage so the pop-up does not appear again. That flag stays in your browser, is not a cookie, is never sent to us and is discarded when you close the tab or browser.
If you email us
Email links on this site open your own email application. If you write to us, we receive whatever you choose to send: your email address, your name if you include it, and the text of your message. We use it to answer you, and for nothing else.
Our lawful basis under UK GDPR is legitimate interest. You have contacted a company and expect a reply, and answering you is the only thing we do with the message. We keep enquiry emails for as long as we need them to deal with your enquiry and any follow-up, then delete them. Please do not send passwords, card details or other people's personal information.
Server logs
Like almost every website, our web server keeps an access log. Nginx, the server software, records each request in its standard combined format: the IP address the request came from, the date and time, the page requested, the response code, the size of the response, the page that linked to us if the browser sends one, and the browser's user agent string. We use these logs to keep the server secure and to diagnose faults. We do not use them to identify or profile visitors.
Where the website is hosted
The website runs on a server managed through Laravel Forge and hosted by DigitalOcean in London, England. The domain's DNS is provided by Cloudflare. Cloudflare only answers the name lookup; it does not sit in front of the website or see your page requests. Connections use HTTPS with a certificate issued by Let's Encrypt.
Your rights
Under UK GDPR you can ask what personal information we hold about you, ask for it to be corrected or deleted, object to our using it, or ask us to restrict how we use it. For this website that will almost always mean an email you sent us and the server log line for your visit. Email support@hqsoftware.app and we will deal with it.
If you are not happy with how we handle your information you can complain to the Information Commissioner's Office, the UK supervisory authority, at ico.org.uk. We would rather hear from you first so we can put it right.
Changes to this notice
If we add anything to the website that changes what it collects, such as a contact form or analytics, we will update this notice and change the reviewed date at the top before that feature goes live.
